Position Summary:

The Temporary Contract Administration Specialist’s business function is in our Global Legal Contracts & Compliance and is responsible for the management of contracts with customers, vendors, suppliers, partners, or employees. This includes contract drafting, execution, and analysis for the purpose of maximizing financial and operational performance and minimizing risk. This is a hybrid role, meaning working three times weekly from the office, out of our Teterboro, NJ location at the Teterboro airpark. The posted salary ranges will default to that of your regional location and will not include any premiums. The baseline range will be equivalent to $120,000 annually, $57.00 hourly.

Minimum Requirements:

  • Bachelor’s degree in business or law

  • At least 5 years of experience as a contract manager, paralegal, or similar role at a law firm or in-house legal department

  • Demonstrates a solid understanding of legal terminology

  • Possesses superior organizational skills and the ability to manage multiple projects with shifting deadlines

  • Strong computer skills and knowledge of common programs such as Microsoft Office and G Suite

  • Ability to professionally manage confidential information

Main Responsibilities:

  • Manage contract administration operations involving contracts for purchase or sale of equipment, materials, products, or services.

  • Review contracts for legal and policy compliance, monitoring and enforcing contractual obligations to ensure risk mitigation, cost savings, legal compliance, operational efficiency, and strategic alignment.

  • Thoroughly review contract drafts, propose changes, and facilitate discussions for mutual agreement.

  • Establish the contract approval hierarchy and document approvals from internal stakeholders. Maintain contractual records, documenting any changes/amendments that may happen during execution of the contract.

  • Ensure the organization's internal contract documents are accurate and well maintained. Create and maintain a contract database for easy access and retrieval. Monitor contract dates and set up reminders to ensure timely action on renewals or terminations.

  • Create contract templates, such as non-disclosures, non-competes, release forms, partnership agreements, purchase orders, employment contracts, and independent contractor agreements

  • Oversees the analysis of contracts and past operations, trends and costs, estimated and realized revenues, administrative commitments, and obligations incurred.

  • Identify opportunities to improve business processes and devise plans to implement these changes

  • Investigate, address, escalate and/or resolve contract issues, coordinating discussions among involved parties and resolving legal disputes

  • Maintain confidentiality of all contracts and adhere to all federal, state, and local business laws and regulations and company policies.

  • Represent Jet Aviation as one company internally and externally with industry groups, regulatory bodies, and the General Dynamics network

Desired Characteristics:

  • Advanced degree and/or CPCM preferred

  • Prior aviation industry experience is strongly preferred

  • Skills and experience in conflict resolution and risk management

  • Ability to work well under pressure and quickly learn new skills and software

  • Has a pleasant, friendly, and helpful manner to deliver the best experience to customers and colleagues
