Derby High School Bookkeeper
Job Description
Purpose: The High School Bookkeeper provides office and clerical support to
assist with the efficient operation of the school district. To
accomplish these tasks, the Bookkeeper works closely with the
staff, administration, and students of Derby Public Schools.
Responsible to: Head Secretary and Principal
Salary: Building Clerical Hourly Rate Schedule, Level 3
Classification of Employment: Non-Exempt
Date: July 2019
Qualifications:
1. High school diploma or equivalent.
2. Three years experience as a bookkeeper is preferred.
3. Extensive computer experience.
Essential Functions:
1. Knowledge, Skill and Abilities
a. Provide office support to assist with the efficient operation of the school
district.
b. Ensure that all activities conform to district guidelines and BOE policies.
c. Communicate effectively with all members of the school district and
community.
d. React to change productively and handle other tasks as assigned.
e. Appropriately operate all equipment as required.
f. Handle large amounts of cash, checks and credit card payments for Derby
High School and ensure that receipts and disbursements are properly
accounted.
g. Support the value of an education.
h. Support the philosophy and mission of Derby Public Schools.
i. Must be able to work independently.
j. Comply with instructions from multiple administrators, directors and upper
level employees.
k. Requires accuracy, accountability and confidentiality.
l. Ability to multi-task in high volume situations.
m. Requires time management and organizational skills.
n. Must be a self-starter.
o. Comply with all district policies, rules and regulations.
2. Physical Requirements/Environmental Conditions:
a. Requires the ability to sit and/or stand for prolonged periods.
b. Requires the ability to manually move, lift, carry, pull, or push heavy
objects or materials.
c. Requires the ability to constantly stoop, bend, and reach.
d. Must be able to work in and around dust, odors, extreme heat/cold and
noisy environments.
e. Must be able to communicate behind a glass window.
f. Requires daily prolonged computer use.
g. Requires regular attendance and/or physical presence at the job.
General Responsibilities:
1. Keep complete and systematic records of business transactions for Derby High
School.
2. Receive payment and disburse funds associated with school district activities.
3. Maintain and prepare financial reports.
4. Balance books and records daily.
5. Prepare bank deposits daily.
6. Prepare monthly sales tax reports.
7. Update students fees after fiscal rollover and class schedule changes.
8. Bill student accounts for lost/unreturned textbooks and other obligations each
semester and at the time of withdrawal or schedule changes.
9. Process credit card transactions including food service payments.
10. Process food service refund requests.
11. Remain updated on all outstanding obligations for current and inactive students.
12. Send monthly statements on past due accounts.
13. Prepare student accounts for collections.
14. Pick-up/drop-off deposit and hold bags at bank(s).
15. Inventory textbooks reported lost by teachers.
16. Work with DHS and district administration to organize and execute enrollment
process for many programs at DHS.
17. Assign locker assignments and combinations, maintain combination control
records.
18. Order supplies and parking permits, yearly.
19. Process Random Drug Testing forms.
20. Process entry/withdrawal reports. Gather information from teachers regarding
outstanding oblig ations.
21. Process mid-term graduates and full term graduates, yearly.
22. Update accounts based on the Hot List for non-sufficient fund payments.
23. Register out-of-district guests for dances and prepare sign-in forms.
24. Update/prepare newsletter articles.
25. Customer Service
26. Respond and/or react to large volume of e-mails daily.
27. Adhere to all district health and safety policies.
28. Other duties as assigned by the Head Secretary or administrative staff, which are
consistent with the general requirements and qualifications of the position.
