General Description (Purpose and Function):

The Assistant Athletic Director of Academic Services will serve as a supervisor for the advising staff for various sports programs and advise the Senior Associate Athletic Director on department operations. This position is responsible for directing all academic services needs for Olympic sport student athletes, serving as a direct contact for Coaches and Staff, coordinating with the Academic Services’ staff as it relates to sports programs and managing our admissions process and NCAA initial eligibility academic process.

Primary Duties and Responsibilities:

Supervise Academic Advisors for Olympic Sports and coordinate, recruit and higher interns for intern program.

Direct all aspects of the academic support for student-athletes.

  • Serve as the point person for all academic staff

  • Serve as the liaison between academic services and assigned sports programs

  • Coordinate and oversee study hall for assigned sports programs

  • Coordinate scheduling tutors and mentors for assigned sports programs

  • Manage all aspects of academic progress for assigned sports programs

  • Help students with career planning

  • Advise student-athletes on NCAA and University of Miami academic requirements

Direct Registration Progress and Liaison with Campus Partners regarding the Navigate Advising Platform.

  • Work with advisors in each school to ensure required academic progress-recommend courses for students in academic difficulty

  • Facilitate Advisement for Early Registration

  • Monitor student appointments

  • Review schedules before they are processed

  • Work with Enrollment Services (Registration Office) to meet special needs

  • Monitor appointments

  • Follow up schedules

  • Generate academic records/survey/progress reports

  • Get and review Degree Progress Reports (DPRs) for student-athletes at beginning of each term.

  • Review progress toward graduation

  • Review grade performance

  • Keep file on each student

  • Conduct individual meetings with each senior and other students as determined to be necessary

  • Meet with freshman, transfer students and others as determined necessary on a weekly basis and issue mentorship report each Friday

  • Put together information on individual student-athletes to be provided to coaches by staff

  • Provide coaches with information gathered from progress reports, meetings with professors and through phone calls

  • Provide coaches with midterm deficiency reports from Registrar’s Office

  • Provide coaches with study hall reports on a daily / weekly basis, outlining how many misses each individual has accumulated

  • Provide coaches with grade report at the end of each semester

NCAA Eligibility Center/Admissions Liaison with the Coaches.

  • Update coaches on admissions of prospects as needed

  • Meet/speak with Academic Liaison to Admissions on a weekly basis to ascertain admissions status of prospect

  • Report information gathered from Admissions meetings to coaches/advisors

  • Update coaches as to what materials are missing from prospects’ admissions file

  • Partner with the Eligibility Coordinator on the NCAA certification of new students to the University of Miami

  • Assist with Recruiting Process

  • Evaluate transcripts for unofficial and official visits

  • Update Clearinghouse Coordinator of additions/deletions

  • Arrange school advisor meeting with prospects

  • Meet with prospects on official and unofficial visits

Facilitate student activities.

  • Registration

  • Academic Progress checks and reports

Programmatic responsibilities.

  • Attend all staff meetings

  • Attend all recruiting sessions as necessary.

  • Follow-up on student grades

  • Create and distribute student-athlete and coaches survey to evaluate Academic Support Services

  • Other duties as assigned

Education Requirements (Essential Requirements):

  • Bachelor’s degree required.

Work Experience Requirements (Essential Requirements):

  • Five or more years of experience.

Bachelor's Degree and a minimum of five years of experience working in a Division I athletic service unit as an academic advisor, required. One to three years of work-related experience with the NCAA Eligibility Center and NCAA Progress- Toward- Degree rules. Must have proficiency in Microsoft Word, Excel and Access. Must be detail-oriented and possess excellent organizational, administrative and interpersonal skills, required.
