Johns Hopkins University Administrative Coordinator in Baltimore, Maryland

The Academic Affairs Department is seeking an Administrative Coordinator who will provide administrative support to the department, executive leadership, and faculty members. This role will coordinate office services and administrative activities, manage, coordinate, and stay informed of all projects. Reporting to the Manager for Operational Excellence, this position is expected to exercise independent judgment in resolution of administrative problems, initiate and oversee organization and implementation of special projects, and take a proactive approach to solutions and workload.

Specific Duties & Responsibilities

Responsible for main Academic Affairs duties

  • Answering telephone lines, screen callers, document and communicate messages

  • Distribute mail

  • Greet and assist visitors

  • Keep office equipment is maintained

  • Ensure office supplies in stock

  • Sending mail and packages

  • Copying and scanning documents

  • Create, distribute, and provide survey and data reports (utilizing Qualtrics, MS Forms, etc.)

  • Faculty onboarding activities (preparation, office set-up, welcoming, etc.)

Manages and Coordinates meetings/workshops (including workgroups and committees)

  • Microsoft Outlook scheduling

  • Zoom link generation

  • Room reservations

  • Set up AV support if needed (through IT)

  • Catering – If needed

  • Set up and breakdown of space

Provides general administrative support to executive leadership

  • Scheduling assistance

  • Travel/expense reimbursements processing

  • Meeting preparation needs

  • Researching topics/history

Support process for annual reviews for all faculty, including scheduling, opening/closing cases in assigned software system, meeting coordination for reviewers, etc Oversite of CV formatting as assigned.

  • This includes supporting new faculty as they transition to JHSON format.

  • Reviewing CV for faculty going up for promotion or submitting award packets.

  • Continued updating of CV template(s).

S upports Faculty in Processing

  • Tuition Remission requests.

  • Travel reimbursement reports (use of SAP-Concur).

Cross train and provide support to Sr. Admin Coordinators for

  • Faculty Assembly.

  • Annual Joint/Adjunct renewal letters.

  • Faculty award packet preparation.

  • Academic Affairs Email (triage, respond, and follow up).

  • Interprofessional Education logistics and events.

  • Misc. duties as assigned

Physical Environment and Needs

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Two years of college and five years of related experience desired.

Role/Level/Range: ATO 37.5/02/OE

Starting Salary Range: $18.00 - $33.50 HRLY ($50,213 targeted; Commensurate with experience)

Employee group: Full Time

Schedule : Monday - Friday 8:30 - 5:00

Exempt Status: Non-Exempt
