TransCore, LP Office Manager in Union, New Jersey

TransCore (TRN), a subsidiary of ST Engineering, is seeking a full-time Office Manager to join our team in Union, New Jersey.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
Analyzes and organizes office operations and procedures such as personnel, information management, filing systems, requisition of supplies, and other clerical services.
Researches and develops resources that create timely and efficient workflow.
Establishes uniform correspondence procedures and style practices.
Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Plans office layout, develops office budget, and initiates cost reduction programs.
Coordinate maintenance and repair, as necessary, with building management and third-party vendors
Reviews clerical and subcontractor records to ensure completeness, accuracy, and timeliness.
Prepares activities reports for guidance of management.
Coordinates activities with management personnel and subcontractors as required
Maintains contact with customers and outside vendors.

Supervisory Responsibilities: May directly supervise up to 3 employees as local operations and projects within the NY/NJ area increase. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Education: Associate's degree (A.A.) or equivalent from two-year college or technical school.

Scope: Receives assignments in the form of objectives with goals and the process by which to meet goals. Provides direction to employees according to established policies and management guidance. Administers company policies that directly affect subordinate employees. Recommends changes to unit or sub-unit policies. Management reviews work to measure meeting of objectives.

Job Complexity: Works on issues where analysis of situation or data requires review of relevant factors. Exercises judgment within defined procedures and policies to determine appropriate action.

Discretion: Erroneous decisions or failure to achieve results may cause delays in schedules.

Interaction: Interacts daily with subordinates and/or functional peer groups. Interaction normally involves exchange or presentation of factual information.

Direction: Provides direct supervision to exempt employees and/or skilled, nonexempt employees (i.e., technicians, designers, support personnel). Acts as advisor to unit or sub-units and may become actively involved, as required, to meet schedules and resolve problems.

Experience: Typically requires a minimum of 5 years of related experience.

Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
