What to Expect:

In this role, you'll oversee administrative functions to ensure smooth office operations. This includes welcoming visitors, assisting with office policies, managing badge systems, and overseeing mailroom services. You'll also be the first point of contact for inquiries and maintain a clean, functional office environment. Additionally, you'll assist with special projects such as office celebrations and organizing monthly all-staff lunches.

A day in the life:

• Greet and direct visitors at reception area.

• Issue visitor badges and coordinate with building security.

• Overseeing the badge identification program/system

• Ensure a clean and safe environment.

• Assist with conference room reservations.

• Liason with staff, suppliers, and clients to address queries.

• Monitor and manage office supply inventory.

• Manage the digital document platform and contribute to the development of new internal policies and guidelines.

• Assist with administrative tasks, special projects and office communications.

• Manage our courrier service and account

• Coordinate office events and prepare welcome kits for new employees.

• Maintain compliance for auditing purposes.

Role Requirements

• Bilingualism in English and French language skills are a requirement, as this position requires collaboration with stakeholders across the Canadian market

• A college diploma in a related administrative field or equivalent experience.

• 2-4 years of experience in an administrative or assistant role, showcasing the necessary skills and knowledge.

• Proficient in MS Office suite

• Excellent organizational skills: Highly skilled in organizing tasks, managing time effectively, and maintaining a structured approach to work.

• Prioritization: Capable of prioritizing tasks and responsibilities based on their urgency and importance, ensuring efficient and effective completion of work.
